Services Guide: Dos and Don'ts
Professional and personal services cover everything from cleaning and photography to security and moving companies. Making smart choices about service providers saves you money, time, and frustration. These dos and don'ts help you hire the right services and avoid common problems.
DO Verify Credentials and Insurance
Do check that service providers are licensed if licensing is required in your area. Services like security companies, moving companies, and some cleaning services need licenses.
Do verify insurance before hiring services that could damage your property or cause injuries. Moving companies, cleaning services, and contractors should have liability insurance. If someone gets hurt or something gets damaged, insurance protects you from being held responsible.
Do ask for proof of insurance and licensing. Don't just take their word for it. Legitimate businesses will gladly provide documentation.
DON'T Skip the Research Phase
Don't hire the first service you find without comparing options. Get quotes from at least three providers to understand fair pricing and what different companies offer.
Don't ignore online reviews, but don't rely only on them either. Look for patterns in reviews. One bad review among dozens of good ones might be an unusual situation. Many bad reviews suggest real problems.
Don't forget to ask friends and neighbors for recommendations. Personal referrals are often more reliable than online advertising or reviews.
DO Get Everything in Writing
Do insist on written estimates before work begins. Verbal quotes can lead to misunderstandings and disputes. Written estimates protect both you and the service provider.
Do make sure contracts or agreements specify exactly what's included. "House cleaning" could mean different things to different people. Spell out exactly which rooms, tasks, and areas are included.
Do clarify payment terms upfront. When is payment due? What methods do they accept? Is a deposit required? Are there cancellation fees?
DON'T Make These Payment Mistakes
Don't pay the full amount upfront except for small services where this is normal (like a $100 photography session). For larger services, pay a reasonable deposit and the rest when work is completed satisfactorily.
Don't pay in cash without getting a detailed receipt. Cash payments without documentation can cause problems if disputes arise or you need records for taxes or warranties.
Don't assume the cheapest quote is the best deal. Very low prices might mean the provider cuts corners, uses poor quality materials, or will add hidden charges later.
DO Communicate Clearly
Do explain exactly what you need before getting quotes. The more specific you are, the more accurate quotes will be. Vague descriptions lead to mismatched expectations.
Do ask questions if you don't understand something. There are no stupid questions when you're spending your money. Good service providers will gladly explain their processes, pricing, and policies.
Do stay in communication during ongoing services. If you're not happy with something, mention it early so it can be corrected.
DON'T Forget About Timing and Scheduling
Don't assume services are available immediately. Good service providers are often booked weeks in advance, especially for seasonal services like moving, photography during wedding season, or cleaning before holidays.
Don't be vague about scheduling. Confirm specific dates, times, and how long services will take. "Morning" could mean 7 AM to one person and 11 AM to another.
Don't forget to ask about their policy if they run late or need to reschedule. Reliable services will communicate about delays, but know ahead of time how they handle scheduling issues.
DO Prepare for Service Providers
Do prepare your space before service providers arrive. If you're having carpets cleaned, remove small items from floors. If movers are coming, have everything packed unless they're doing the packing.
Do secure valuables and important documents. While most service providers are honest, it's smart to lock away jewelry, cash, and sensitive documents during services.
Do be present or have someone you trust present during services, especially for the first time working with a new provider.
DON'T Make Assumptions
Don't assume tipping is required or not required. Tipping customs vary by service and location. It's generally expected for personal services like hair styling or spa services, optional for delivery and installation, and not typical for licensed professionals like plumbers or electricians.
Don't assume services include cleanup unless specifically stated. Some services clean up after themselves, others leave that to you. Ask beforehand.
Don't expect service providers to move or handle items that weren't discussed. If you hire house cleaners, don't expect them to move heavy furniture unless you arranged that.
DO Address Problems Properly
Do give feedback during or immediately after service while problems can still be fixed. Good service providers want to make things right, but they can't if you wait weeks to complain.
Do be specific about problems. "I'm not satisfied" doesn't help them fix anything. "The corners weren't vacuumed" or "three boxes arrived damaged" gives them specific information.
Do escalate to management if the service provider doesn't resolve issues. Most companies want to keep customers happy and will work with you if you give them the chance.
DON'T Neglect Long-Term Relationships
Don't constantly switch service providers looking for cheaper options. Building relationships with reliable providers who know your preferences and property has value beyond saving a few dollars.
Don't forget to show appreciation for consistently good service. A sincere thank you, positive review, or holiday tip builds goodwill and often results in even better service.
DO Protect Yourself
Do keep records of all services including receipts, contracts, before and after photos, and communications. This documentation helps resolve disputes and provides proof for warranties or guarantees.
Do understand warranties or satisfaction guarantees before hiring. Know what's covered and for how long.
Do trust your instincts. If something feels wrong about a service provider, even if you can't pinpoint why, it's okay to choose someone else.
